Responsible for general office tasks including answering multiple line switchboard, processing paperwork, data entry to spreadsheets, typing letters, working with PMs in construction software programs. Support Estimating and Project Managers with filing and other administrative duties. Cordially welcome others on the phone and in person.
Essential Duties:
- Enthusiastically answer outside calls with a welcoming attitude.
- Cheerfully wait on customers
- Input information into construction software as needed
- Assist PMs with filing
- Make copies and perform scanning of drawings
- Assist in the preparation of bid documents if needed
- Maintain Box Room and box up old jobs
- Professionally type general proposals and other correspondence with attention to correct grammar, spelling, and formatting.
- Fax, email and mail drawing and spec requests
- Update Certificate of Insurances in Viewpoint Construction Software
- Willingness to be a bid runner, if necessary.
RELATIONSHIPS:
- Reports to Operations Administrator.
- Interacts with Vendors, Suppliers, Customers, Job Applicants, Accounting Department, Project Managers, Estimators, Supervisors, Executive Management, and Operations, Field, Tool Room, Shop, and other Administrative Personnel.
- Must be a team player.
KNOWLEDGE / SKILL / EXPERIENCE REQUIREMENTS
- Minimum of two (2) years of experience in Administrative positions.
- Must have the technical and written skills required for writing professional letters and documents.
- Must have well-developed people and communicative skills to effectively interact with all levels of personnel including field, office, project management estimating and executive management.
- Data entry, spreadsheet and analytical skills are essential.
- Must be detail-oriented, able to work independently and effectively multitask projects.
PHYSICAL DEMANDS / WORKING CONDITIONS
- Ability to work additional hours and/or modified work schedule, as necessary.
- Ability to support and maintain fast paced activity.
- Ability to meet deadlines.
- Consistently works in an office setting, at a desk or workstation; must be able to stand, sit, remain in a stationary position for up to 75% of the time.
- Occasionally, must be able to lift and reposition 25-pound boxes to a height of 2-3 feet and position on shelves; lift and handle paper rolls of 25 pounds and place in large format plotter at a height of 3-4 feet.
- Must be able to walk, move about, access file cabinets and office equipment for up to 50% of the time.
- Must be able to operate a computer and other office equipment consistently, constantly, such as a calculator, copier/scanner/printer for up to 75% of the time.
- Must be able to answer telephones, clearly communicate and exchange information with others for the entire workday.
- Must be able to accurately, visually proofread numbers, words, and symbols.
